General Terms and Conditions Definitions In these general terms and conditions, the term “event” shall mean conferences, symposiums, event, seminars, tutorial courses, training sessions, refresher courses, workshops, exhibitions and other gatherings whereby the transfer or exchange of information, expertise, experience and knowledge is central. Scope These terms and conditions apply to all agreements with F.O.R.K. concerning participation in events. Deviations from these terms and conditions are only binding if and insofar as they have been explicitly confirmed in writing by F.O.R.K.. If one or more provisions of these general terms and conditions are at any time wholly or partially null and void or should be annulled, the remaining provisions of these general terms and conditions shall remain fully applicable. The participant declares to know and accept the general terms and conditions of F.O.R.K. by signing the registration form or by sending the online registration form. Organizer FOOD DESIGN for OPPORTUNITIES RESEARCH and KNOWLEDGE asbl (hereafter referred to as F.O.R.K.) is the organizer of the event 3rd International Food Design and Food Studies Conference, Experiencing and Envisioning Food: Designing for Change, which takes place as a hybrid event partially online and partially in Lisbon (Lisbon School of Architecture, Universidade de Lisboa, Portugal, on 28, 29 and 30 April (hereafter referred to as event). F.O.R.K. is authorized to act on behalf of the event host, Lisbon School of Architecture, Universidade de Lisboa of place of venue. F.O.R.K. leads the event secretariat and is responsible for registration and delegate services, sponsorship opportunities, exhibition management and all event logistics. The General Terms and Conditions are binding for each registered attendee in the event. Any person attending (member of the public, speaker, guest, delegate, scientist, media representative, student, sponsor, exhibitor, visitor etc.) is considered a participant. Registration The registration and payment deadlines are as follows: Early registration deadline: 15 March 2022After early bird registration deadline: 10 April 2022Standard registration: from 15 February until 15 March 2022Attendance to the event requires prior registration. Registration to the event is solely possible via the online registration form. By the completion of online registration (clicking the buttons “Registration” at the end of the form), or any other registration procedure admitted, the contract between F.O.R.K. and the participant will be legally binding. If the maximum attendee capacity is reached, the organizers reserve the right to refuse further registrations. Participants qualifying for reduced registration fee (e.g. speakers, members, students, press representatives, academics, researchers etc) must provide a documentary proof of their status to F.O.R.K. upon registration. Participants will receive an official confirmation of registration/invoice from F.O.R.K. via email. Registration fees must be paid in full in due date mentioned above and the information provided on the invoice. Should the early deadline be missed, the standard applicable fee will be charged automatically and F.O.R.K. will send a new invoice subsequently. All registration fees must be fully paid prior to the event. Payments are only accepted in EUR and can be made by bank transfer. Cheques are not accepted. Should the event fee(s) not been paid on time, the Event Organizer will deny the participant access to the virtual platform and the event venue. Cancellation policy Changes in registration and cancellations must be notified to F.O.R.K. by e-mail. In case of cancellations in full or part received before the early registration deadline, a cancellation charge equivalent to 50% of the registration fee applies. No refund will be made for cancellations notified after the early registration deadline expired and F.O.R.K. will remain entitled to claim full payment of all outstanding registration fees, unless otherwise agreed.No refund will be made for unattended events, illness or early termination of attendance.In case of cancellation due to a visa being denied and providing the visa was applied for in time, the fee will be refund in full minus a processing fee of EUR 50.00. To qualify for the refund, a proof of timely application together with an official notice from the embassy confirming the refusal to issue a visa must be provided to F.O.R.K. by e-mail or registered post. Cancellation of the event If the event cannot be held or is postponed due to circumstances beyond the control of the event organizers (force majeure), F.O.R.K. cannot be held liable for any damage to the participants. Under these circumstances, the event organizer reserves the right to retain the entire registration fee and transfer it to the event when postponed to another date, or, when the event must be definitively cancelled, to reimburse the participants under deduction of all costs incurred in relation to the organization of the event and which could not be recovered from third parties. Privacy of personal data F.O.R.K. processes the personal data provided by the participant in accordance with F.O.R.K.’s privacy statement which is available on our website https://www.theforkorganization.com. By registering to the event, participants give F.O.R.K. permission to process and share personal data with third parties for creating the attendance list, making badges, certificates of participation, publishing minutes and report of the event, evaluating the meeting or any legitimate motive required by the organization of the event. Personal data may be used for purposes other than those described above only if the participant has given a written consent. Copyright and Intellectual property rights Unless otherwise stated all intellectual property rights vested in or related to the event, including event title, written documents and brochures, speakers’ presentations and executive summaries, publications and reports on hard or digital support, etc. issued by or on behalf of F.O.R.K. or third parties are held exclusively by the respective owner, whether F.O.R.K. or third parties. All information and (working) material obtained from or on behalf of F.O.R.K. or third parties in the context of the event is intended solely for the participant’s or his organization’s own use. The participant is not authorized to reproduce or make public in any way whatsoever, in whole or in part, the information/material he received, except with the prior written permission of the owner. The agreement with the participant does not in any way imply the transfer of any intellectual property rights about the event or the information offered in this context by or on behalf of F.O.R.K. or third parties, or with regard to licensing rights, unless expressly provided otherwise. Films, photos and video recordings F.O.R.K. and other organizing partners are collaborating to create a comprehensive overview of the event program, interactions and events that may be of promotional interest to their policies, philosophy, and statutory purposes. Accordingly, attendees are informed that they may be filmed or photographed at any time (e.g., during the session rooms as well as in poster area and during virtual sessions, tutorials, and workshops). Speaker’s presentations will be recorded. By registering to the event, all attendees confirm being fully informed and agree to the use of their image, but only for publication or diffusion of material directly related to the event. Insurance The registration fee does not include insurance of any kind. The organizers cannot accept any responsibility or liability for injuries or losses sustained as a result of cancellations, accidents, illness or other occurrences that may arise in connection with the event or its related social events. Participants are advised to organize appropriate travel and health insurance themselves. Liability F.O.R.K. only acts as mediator and is not liable for any losses of things, in accidents, destruction’s and damages of property and/or in the injury of persons, the reason does not matter. Participants and accompanying persons participate in all event events on their own risk. Place of venue – Law Applicable For the interpretation and performance of the services agreement, the laws of the Kingdom of Belgium apply. The Courts and tribunals of Brussels will have exclusive jurisdiction over any dispute arising from the interpretation and performance of the services agreement, unless parties agree to arbitrate their disagreement. Cancellation of Workshops If the number of registrations to one of the programmed Workshops is considered insufficient by the organizer, prior the event, the organizer reserves the right to cancel the respective session(s). In this case, participants will be informed in due time and will be offered alternative tutorials/workshops or will receive on request full refund of fees already paid in relation thereof. Speaker registration and paper payment According to the publication policy of the event, only written contributions that are linked to at least one fully paid event registration, at the speaker rate, can be published in the proceedings (details can be found in the submission instructions – kindly note that deadlines for speaker registrations and paper payment are independent from the above-mentioned registration deadlines). Therefore, no refund will be given for cancellation of speaker registrations/registrations that are linked to the publication of an accepted written contribution. Name badge for on-site attendees Upon arrival at the event venue, every attendee must proceed to the registration desk first to pick up the personalized badge and the event material. The name badge must be worn at any time during the on-site event and entrance to the different event facilities will only be allowed when presenting a valid event personalized badge. Visa requirements and letter of invitation It is the sole responsibility of the participant to take care of his/her visa requirements if they want to attend the on-site event in Lisbon, Portugal. Participants who require an entry visa must schedule sufficient time for the application procedure. Participants should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. It is recommended to apply for a visa at least three months before the venue. Individuals requiring an official Letter of Invitation can request it during the online registration. Letters of Invitation will be issued only for delegates, who registered to the on-site event and have fully paid their registration fee. Letters of Invitation will be issued electronically (as PDF file via email). Upon request, a hand-signed hard copy can be sent via regular mail service. Kindly note that tracking of regular mail is not possible and that mail delivery times are beyond the organizers control. Express delivery is possible upon request but will involve an extra service charge depending on the desired delivery service. Cost of Letters of Invitation will always be borne by their applicant. All expenses incurred in relation to the attendance to the event are the sole responsibility of the participants. Δ
